The School Games National Summit is a 1-day annual conference held for 600 delegates. A traditionally live event hosted at the Ricoh Arena, Coventry, however due to the Covid-19 pandemic, YST took the decision to host the event virtually.

Keen to recreate the energy of their traditional event, the brief received from YST included a packed day of activity including opening keynote speakers, a series of interactive breakout workshops, exhibition stands and an award ceremony.

The event was livestreamed for delegates to watch from within the bespoke website and GEM platform. We streamed from two locations, a studio based at the YST head office in Loughborough, in which we created a Covid secure daytime news studio delivering live commentary, interviews and presentations by key YST representatives and campaign ambassadors. The second location was our studio at Glasgows offices whereby speakers joined virtually to present and take part in Q&A discussions through a zoom meeting.

In addition to the main stream there was also a total of 31 workshops sessions that took place; 14 morning reflection sessions were followed by 17 afternoon workshops. Delegates chose which of the workshops they wanted to attend, which then populated a personalised agenda for each person.

During the Summit there was an Awards Ceremony which used a variety of graphics, pre-recorded presentation and acceptance content and images all created in-house by our Creative team. The ceremony featured 6 categories in total and allowed delegates to celebrate and share inspiring stories of sport engagement.

The other key area at the event is the Exhibition area, the exhibition had 27 unique fully virtual stands featuring downloadable documents, embedded click to view videos, images, information and the first event to feature Glasgows live video chat facility between exhibitor and delegate.

Over 500 delegates attended the virtual summit with a total of 1792 digital interactions. Exhibitors reported a high footfall of virtual visitors to their stand with a significant number of 1:1 video conferencing calls taking place.

Post event, the website and popular video on demand service remained live for delegates one month post event experiencing in the first week post event a total of 77 views.
